Roles + Responsibilities:
· Organizing the Calendar by fixing Appointments and Meetings as necessary on Daily/Weekly/Monthly basis.
· Preparing Daily Notes and Minutes of the Meetings as required.
· Managing Emails, Telephones and all communication and drafting letters, emails and messages as required.
· Preparing and organizing reports, presentations, lists and data.
· Assisting with all technology related things – emails, messages, virtual calls, Whatsapp and other applications.
· Liasoning with Government Departments, Vendors and Agencies.
· Act as a the SPOC (Single point of contact) for the MD, coordinating with Visitors, Clients, Company executives, employees and external partners.
Guest Management & Hospitality:
· End to end management of Guests/ Visitors with planning for their logistics, accommodation and hospitality.
· Gifting – finding and coordinating requirements for flowers, hampers, giveaways and other gifts.
· Maintaining a list of preferred vendors across categories and cities.
Travel & Medical
· Handle travel related tasks and documentation, and making travel arrangements and bookings.
· Coordinating with travel agents and airport authorities as required.
· Handle medical documentation and file reports in a systematic manner.
· Coordinating with hospitals to organize visits as required and follow-up based on medical requirements.
