InfraHire is looking for a Executive Assistant in Tampa, FL
 
In this role, you will primarily support our CEO, perform daily administrative tasks, and provide administrative services to office departments and/or business units.

Our ideal candidate will have strong organizational skills, take initiative, anticipate the needs of our CEO, be flexible, prioritize tasks, and execute in excellence. Must be adaptable to the growing environment of an emerging small business. Prior military or working experience for a defense contractor preferred (not mandatory).

Requirements
 
  • Minimum two (2) years of Executive or Administrative Assistant experience is required.
  • Serve as a gatekeeper to manage the CEO’s time, daily calendar management, make / return phone calls, mail processing, monitor voicemail, write / update documents and correspondence, prioritizing on behalf of the CEO as necessary.
  • Anticipate needs and proactively support the CEO, including upcoming deadlines, preparing meeting materials, and ensuring she is well-prepared for engagements.
  • Provide professional customer service and positive interactions while processing day-to-day administrative items
  • Assist with general office inquiries from CEO, staff, and others; provide proactive escalation as appropriate
  • Help create and maintain business certifications and registrations
  • Organize and provide assistance during meetings as requested; record, transcribe, and distribute meeting minutes
  • Maintain knowledge of business unit/headquarters’ historical information (e.g., use of vendors, event sponsorships, industry memberships/activities, client, and staff events) to support managerial related decision-making
  • Arrange travel reservations, business accommodations, prepare itineraries and agendas for the CEO
  • Assist with personal errands and tasks, such as managing personal appointments, handling personal correspondence, organizing personal events, shopping, transportation, etc.

  • Contribute ideas for continuous improvement and effectiveness of the team within business unit/headquarters and share recommendations with overall job family

  • Some travel with the CEO may be required.
